TalentPulse privacy note
This note complements the privacy policy of Vrije Universiteit Brussel linked above. It describes how the TalentPulse application handles your data. The linked privacy policy remains the reference for the identity of the data controller, the legal basis of the processing, retention periods and the contact details of the data protection officer.
What the application collects. The information you enter in the application form (identity and contact details, academic and professional background, the programme you apply for), the documents you upload (photograph, identity document or passport, motivation letter, curriculum vitae, reference letters and, where applicable, a Belgian licence and RIZIV number), the messages you exchange with the admissions staff, and technical records needed for security (date and time of access, IP address, actions performed on your file).
Why. To receive, assess and manage your application and, if you are admitted, to plan and follow your stay.
Who can see your data. Only authorised admissions staff of the department. Each access to your file and documents is recorded.
Who operates the application. TalentPulse is operated by Innovatech Health S.R.L. as a service provider acting on behalf of the institution. The application uses the following infrastructure providers: DigitalOcean (application hosting), Bluehost (database hosting), Google (an encrypted backup copy of uploaded documents) and an email provider for notifications. Some of these providers are established in the United States.
How your data is protected. Connections use HTTPS. Uploaded documents are stored encrypted. Passwords are stored in hashed form. Staff accounts require two-factor authentication.
Your rights in the application. From your profile you can download a copy of your data and documents, update your details, and submit a request to have your application and data erased. For any other request concerning your personal data, use the contacts given in the linked privacy policy.
